Student Account Registration & Verification
1.1 Eligibility: Registration for cred-IT is exclusively available to currently enrolled students within the College of Information and Computing Sciences (CICS). All information submitted during registration must match official university enrollment records.
1.2 Verification Workflow: Newly registered student accounts initially enter a Pending verification queue. Official administration staff review uploaded school identification photos (both Front and Back) and confirm student ID numbers prior to granting active portal and RFID privileges.
1.3 Single Active Profile: Each student is permitted exactly one active cred-IT account bound to their registered Student ID (e.g., format YY-XXXXX). Multi-accounting, impersonation, or submitting forged documentation constitutes a major institutional violation.
1.4 Initial Password & Setup: Upon approval, students receive temporary credentials via email and must establish a secure alphanumeric password alongside a confidential 4-digit POS transaction PIN upon their first sign-in.
Prepaid Cashless Wallet & Kiosk Cash Gating
2.1 Non-Monetary Digital Ledger: Funds credited to your cred-IT wallet represent prepaid credits redeemable exclusively within campus-authorized cafeteria kiosks, printing terminals, and college fee counters.
2.2 Cash Top-Up Channels: Students may top up wallet credits through authorized CICS Treasurer counters, or automated smart deposit kiosks equipped with physical bill and coin acceptors.
2.3 Automated Kiosk Hardware Gating: Cash insertion on hardware kiosks (Bill Acceptor on GPIO 32 and Coin Selector on GPIO 33) is digitally gated. The physical acceptors will only accept currency when an active authenticated student session is initiated on the terminal or web dashboard. Stray or unauthenticated pulses received outside an active session are strictly disregarded by controller firmware.
2.4 Live Real-Time Ledger Updates: Deposited cash pulses are immediately computed by the controller, transmitted to the central database ledger, and reflected live across the touchscreen display and portal without manual refresh.
Emergency Micro-Loan Rules & Interest Structure
3.1 Purpose & Loan Cap: The emergency micro-loan feature provides short-term financial buffering for students lacking immediate cash for essential food or printing requirements. The maximum loan cap is strictly limited to ₱10.00 per single active request.
3.2 Single Outstanding Policy: A student may maintain only one (1) active or unpaid micro-loan at any given time. No subsequent loan applications will be processed until the current obligation is fully liquidated.
3.3 Repayment Tenures: When initiating an emergency loan, the borrower selects a daily repayment schedule ranging strictly from 1 to 4 days.
3.4 Interest Calculation: Loans incur a standard institutional interest rate of 20% per day based on the selected tenure. Total payable balances and exact calendar due dates are explicitly displayed prior to loan confirmation.
3.5 Settlement Methods: Micro-loans may be repaid directly via prepaid wallet balance deduction, or at the CICS Treasurer window.
Physical RFID Smart Card & POS PIN Security
4.1 Non-Transferability: The physical RFID card assigned to a student is strictly personalized and non-transferable. Loaning, renting, or transferring cards to peers is strictly prohibited.
4.2 Mandatory PIN Authorization: All contactless transactions exceeding terminal tap thresholds or involving fee/loan payments require real-time keypad entry of the student's 4-digit PIN.
4.3 PIN Confidentiality: Students must maintain absolute confidentiality of their 4-digit PIN. The cred-IT administration will never request your PIN via telephone, email, or chat.
4.4 Anti-Cloning & Hardware Tampering: Any attempt to clone RFID UID serials, emulate card frequencies, manipulate terminal serial lines, or tamper with ESP32/S3 hardware constitutes a grave cyber-offense subject to immediate account revocation and university expulsion.
Lost Card Reporting & Account Freezing
5.1 Immediate Lost Card Reporting: In the event of a lost or stolen RFID card, the student must immediately trigger the Report Lost Card toggle in their portal Security settings or report to the CICS office.
5.2 Instant Terminal Lock: Upon report submission, the RFID UID is instantly blacklisted across all POS terminals and hardware controllers, preventing unauthorized balance debits.
5.3 Delinquency Freezing: Failure to settle micro-loan balances on or before the generated due date results in automatic card and portal freezing until all overdue obligations are satisfied.
5.4 Card Replacement: Replacement of lost or damaged RFID cards requires administrative verification and card re-binding at the CICS Department.
Data Privacy Policy & RA 10173 Compliance
6.1 Statutory Compliance: The cred-IT system processes personal information in strict compliance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and National Privacy Commission regulations.
6.2 Collected Data Points: We collect and retain student full names, student IDs, academic year and section, institutional email addresses, contact numbers, birthdates, ID photos, card RFID UIDs, hashed PINs, and transaction audit logs.
6.3 Purpose of Processing: Collected data is utilized solely for user identity validation, cashless transaction settlement, micro-loan disbursement tracking, and electronic receipt delivery.
6.4 Data Security & Encryption: Sensitive passwords and PINs are cryptographically hashed using industry-standard Bcrypt algorithms. System communications over public and local network interfaces are secured using TLS encryption.
6.5 Non-Disclosure: Personal student records and financial logs will never be sold, leased, or disclosed to third-party advertisers or unauthorized external entities.
Disciplinary Violations & Penalties
7.1 Prohibited Conduct: Prohibited behaviors include: submitting false registration data, attempting pulse-counter spoofing or coin fraud, exploiting software bugs, and sharing accounts.
7.2 Sanctions: Violations are penalized on an escalating scale:
- 1st Offense: Formal warning and temporary card suspension for 7 calendar days.
- 2nd Offense: Indefinite card deactivation, mandatory restitution of unpaid balances, and referral to Student Affairs.
- 3rd Offense / Gross Tampering: Permanent expulsion from the cred-IT network and formal academic disciplinary proceedings.
